WhatsApp Proposal Approval for Agencies

When a client writes “I approve the proposal”, which file do they mean? Agency PDFs often change as the scope and price are revised. A WhatsApp workflow connects each version, revision request and approval to the same job so the team can see what was actually agreed.

This is a fictional proposal and approval scenario on my own 0850 demo line, not a customer deployment or a measured sales result. Sending one PDF and recording approval are within the current demo. The complete revision–new PDF–final approval chain has not yet passed phone acceptance.

An example proposal conversation

Agency: Here is version 1 of your campaign setup proposal as a PDF. The scope and price are in the file.

Client: Could you include reporting?

Agency: We recorded your revision request. We will send version 2 with the updated scope and price.

Agency: Version 2 is ready. Any approval now applies only to this version’s scope and price.

Client: I approve version 2.

The word “approve” does not apply to every earlier proposal. The workflow identifies the active file, version, date and scope summary. If the client responds to an old PDF, it asks for clarification. A WhatsApp approval does not replace a contract, payment or other authorisation required before work starts.

What can the agency team follow?

In a shared inbox, staff see the conversation, last file sent, open revision request and decision time together. When a person answers, the bot pauses its own approval prompt. “One more change” stops the current approval path; an older version is not sent back for approval while a new one is being prepared.

Work hours and job status can only be answered from agency-approved records. Without a connected ads account, billing system or project tool, the assistant cannot claim to know their current values. Proactive follow-ups also need the client’s communication preference and the current WhatsApp policy to be checked.

The first implementation can cover one proposal type and version history. Proposal generation, signing, payment and job reporting are separate integrations.

Frequently Asked Questions

Does a WhatsApp approval replace a contract?

I do not make that claim. The business’s contract, payment and authority rules are defined separately, with specialist legal advice where needed.

Are old proposal PDFs deleted?

Retention and access follow the business’s data policy. The workflow’s immediate purpose is to keep the current version unambiguous.

Is this a real agency customer case?

No. It is a fictional workflow on my own line, with no customer data or claimed conversion result.

On a fixed monthly fee both sides are watching the wrong thing: you watch a fixed cost, the other side watches how many more contracts like this they can line up. Working by the hour puts us both in front of the same thing — the real value of the work that got done. I know not having an upfront answer to "how much will this cost in total?" is the natural cost of this model. But instead of paying a fixed fee for months to a setup that is not producing results, you only pay for the qualified time spent on your work — and you see exactly where that time went, start to finish. That is why my clients keep coming back.
