WhatsApp Automation for Hotel Rates and Bookings

“Do you have a room for two in November, and how much is it?” Before your hotel can answer, someone needs to confirm the dates, check a suitable room and explain the total price and terms. I build WhatsApp workflows that move this conversation forward. A guest can submit a booking request without repeating their details, while reception sees the conversation and the information already collected.

This is an illustrative hotel scenario, not a connection to a live property. The room, price and confirmation code below are fictional. What can be implemented depends on access to your booking software and your operating rules.

How does the example conversation work?

A silent workflow demo; it does not create live reservations. The steps also appear in text below.

1. Confirm dates and party size.

Guest: Could I get a price for two adults, 15–18 November 2026?

The workflow collects arrival and departure dates, adult numbers and children’s ages where relevant. It clarifies vague requests such as “next weekend”. This example covers three nights.

2. Retrieve a room option and the total price.

Assistant: The example search shows a standard room available. Three nights for two adults cost TRY 13,500 in total, including breakfast and taxes. Under this example rate plan, cancellation is free until 12 November at 18:00; afterwards, one night’s charge applies. Would you like to submit a booking request?

In a real implementation, the hotel booking system, channel manager or authorised rate source supplies this information. The reply specifies the room type, currency, total stay price, inclusions and cancellation terms. Missing information is resolved before presenting a firm offer. AI does not invent the rate.

3. Record the request and explain its status.

Guest: Yes, please submit the request.

Assistant: I have received your request. Availability and the booking result are being checked. No room has been reserved yet.

The workflow collects the contact details required for the request. It checks availability again rather than treating the earlier search as a guarantee. If it cannot create reservations in the hotel system, it sends the request to reception and tells the guest.

4. Confirm only after the operation succeeds.

Assistant: The example hotel system has confirmed the reservation. Reference: DEMO-001. Arrival 15 November, departure 18 November; standard room, two adults, total TRY 13,500.

This illustrates the reply sent after a successful system record or confirmation by an authorised employee. If a deposit is required, the hotel’s payment process is connected separately. A payment screenshot alone is not treated as confirmation; a verified payment result is required.

You do not need to implement every use case at once. Rate enquiries, availability checks and reception handover usually provide a clear starting scope.

Which hotel systems can it connect to?

A property management system, booking engine or channel manager may provide suitable access for rate and availability queries. Creating, changing and cancelling reservations require separate permissions. I verify the actual product and your account’s access before defining the integration.

A hotel using Excel or Google Sheets can also collect and track requests. However, I would not promise a guaranteed last-room booking from a manually maintained spreadsheet. Where staff approval is needed, that step remains visible to the guest. The same records may also support custom hotel reservation reporting screens.

Connecting WhatsApp does not automatically synchronise all sales channels. Keeping OTA and direct sales on the same inventory remains the role of the PMS and channel manager. If room holds or concurrent requests cannot be handled reliably, I add staff review before definitive confirmation.

How does reception take over?

When a guest requests a person, raises a special requirement or the source system is unavailable, the conversation is assigned to staff in the shared inbox. Reception sees the dates, party size, offered option and earlier messages, then replies through the hotel’s WhatsApp number. Automated replies pause when staff take over. I agree the restart rule with the hotel.

The assistant can say that it cannot retrieve the information and is passing the request to reception. Outside working hours, the stated response time follows the hotel’s actual staffing arrangements; immediate human support is not promised.

How are permission, data and costs handled?

Meta’s messaging rules, checked on 24 September 2026, also apply to this workflow. I do not record a booking enquiry as a marketing subscription. Information notices, retention, staff access and deletion procedures are defined as separate implementation requirements.

Costs depend on the integration, selected scenarios and usage. Alongside setup, the proposal considers Meta messaging charges, hosting and any AI use. One hotel may only need enquiry collection; another may need a two-way booking integration. WhatsApp’s current pricing is checked again when the proposal is prepared.

These are project acceptance checks. The example on this page does not test a real PMS connection; I test your hotel’s live integration separately.

How do we measure the result?

We track whether rate enquiries collect complete dates and party details, whether a valid offer is returned and whether a reservation is actually confirmed. Conversations awaiting staff and failed data queries are recorded separately. A request received and a booking confirmed are distinct outcomes in the report.

Frequently Asked Questions

Where does the assistant get current room rates?

From the authorised hotel system or rate source. Without a live connection, it collects the necessary details and passes the request to staff for a price check rather than claiming to know the current rate.

Is the booking confirmed when the guest says yes?

No. That may be a request or an approval step. The hotel’s conditions must be met and the booking system or an authorised employee must confirm the reservation.

Availability is checked again at the booking stage. Where the system supports an inventory hold, that capability can be used. A failed operation is not presented as a confirmed booking; alternatives or reception support are offered.

Can we use the demo with our own hotel system?

The interactive example and video illustrate a proposed workflow. To implement it at your property, I review your software access, rate rules and reception process, then build the corresponding integration.

On a fixed monthly fee both sides are watching the wrong thing: you watch a fixed cost, the other side watches how many more contracts like this they can line up. Working by the hour puts us both in front of the same thing — the real value of the work that got done. I know not having an upfront answer to "how much will this cost in total?" is the natural cost of this model. But instead of paying a fixed fee for months to a setup that is not producing results, you only pay for the qualified time spent on your work — and you see exactly where that time went, start to finish.
