Supplier Quote Comparison Report
When you get quotes from multiple suppliers, each one arrives in a different format, with different line items, different currency, or different payment terms. Comparing them by eye makes it very easy to miss something important — like one quote including VAT and another excluding it.
I put your quotes into a single table: I line up every item on the same row, flag what’s included and excluded in each quote, and make the total cost comparable on the same basis (VAT, payment terms, delivery conditions).
How hidden costs surface
The most common issue I see is a quote that looks cheap simply because it left out shipping, installation, or maintenance costs. Those items are usually buried in small print in the quote text and easy to miss without a careful read. In the comparison table, I break these out as separate rows so nothing slips through.
I also add non-price factors that still affect total cost — payment terms, warranty length, penalty clauses.
Negotiation leverage
Laying quotes side by side usually makes it clear where one supplier is strong and another is weak. That’s useful leverage in negotiation — you can walk into a conversation with something concrete: “the competing quote included this line item, why doesn’t yours?”
I build the report with that use in mind — not just for information, but as a negotiation tool.
Delivery format
The result is a one-page comparison table plus a short assessment note. If you want a recommendation on which supplier to choose, I include that too — but the final call is always yours.
How we start: a free 20-30 minute call first, where we talk through what you want and what’s realistic. If it makes sense, I send scope and price in writing, then we begin. Reach me via the contact page.
Frequently Asked Questions
How many quotes can you compare?
There’s no hard limit, but in practice 3-6 quotes is the most common range. More is possible too — it just takes a bit longer to prepare.
The quotes came in different languages — is that a problem?
No, I can translate quotes in different languages into the same table without issue.
Do you tell me which supplier to choose?
If you want, I’ll give a recommendation, but it’s not a binding one. The decision stays with you, since you know your business and your supplier relationships best.
Is this a one-off thing, or ongoing?
It usually starts as a one-off need, but businesses that purchase regularly often turn it into a periodic routine.
