# See Stock by Warehouse on One Screen

[Oğuz Erol](https://oguzerol.com/en/about-me/) | 4 min read

When each warehouse updates its own spreadsheet, total stock can become confused with where the goods actually are. I can bring your Excel and Google Sheets warehouse records into a custom app that shows quantities by location and separates goods in transit from stock available to use.

## Separate dispatch from receipt

The sending warehouse records the quantity, and the transfer moves to in-transit status when the goods leave. The receiving warehouse confirms arrival before that stock becomes available there. For a short delivery, expected and received quantities appear together with an explanation of the difference. We test the rules with real movements to avoid presenting one transfer as available stock in both locations.

## Try the workflow between two warehouses

Two locations, a transfer form and a receiving screen provide a narrow working version I can demonstrate quickly. We define which warehouses each user can act for and test cancellations and returns. Opening quantities are checked by location during import. Bin locations or branch summaries can follow if needed, rather than expanding the initial transfer workflow unnecessarily.

## Which movements make up warehouse balances?

A multi-warehouse app needs movement records for each product and warehouse. Opening quantities, receipts, issues and transfers remain distinct. Bin locations, batches and serial numbers require their own scope; adding a warehouse name does not implement those workflows.

| Transfer stage | Sending warehouse | Receiving warehouse |
| --- | --- | --- |
| Draft | Physical quantity is unchanged; any allocation is shown separately | Can show expected stock |
| Dispatched | Dispatched quantity leaves the warehouse | Not available before receipt |
| Partially received | The dispatch is not deducted again | Only accepted quantity is added |
| Discrepancy under review | A return or correction needs a reason | Missing or damaged quantity is tracked separately |

**Illustrative scenario:** Some goods arrive damaged. The receiving warehouse accepts the sound quantity and opens a discrepancy for the rest instead of marking the whole shipment as available. The company can still explain where the transferred goods are; missing quantities are not silently deleted.

## How do dispatch and receiving teams share the record?

Warehouse staff act only for their authorised locations. The sender records dispatch; the recipient confirms quantity received. Closing a discrepancy and making retrospective corrections require separate permissions. Management may need all warehouses without every branch employee seeing purchase costs elsewhere.

I design the transfer record to retain its identifier, sender, recipient, action times and correction reasons. A receipt submitted again after a connection problem must not add stock twice. If two colleagues open the same transfer, an older screen must not overwrite the updated record unnoticed.

## What needs checking before importing spreadsheets?

Product codes and units must match before warehouse lists are combined. If one file uses cartons and another uses individual items, the conversion rule needs agreement. Opening balances are checked against a count or approved list at the chosen cutover point. In-transit movements must not be counted again in those balances.

If an ERP is the stock system of record, we decide whether this app writes movements back or only reads them. Delayed integrations should show the last successful import time instead of presenting old quantities as current. API integration and offline operation are not automatically included in the initial screens.

## What would we test before release?

- Reconcile dispatch, partial receipt and later receipt with the underlying movements.
- Repeat a receipt request and confirm that it creates no additional stock.
- Test cancellation before dispatch separately from a return after dispatch.
- Check direct record access and exports with a user restricted to another warehouse.

Optional AI can summarise discrepancy notes. It should not infer stock quantities, accept deliveries or close losses from generated text. Recorded movements and authorised decisions determine those outcomes.

## Frequently Asked Questions

### Are goods in transit included in total stock?

They can appear as a separate quantity. Company-wide stock and stock immediately available in a warehouse are different measures, so we define each one clearly.

### Can a transfer be received in parts?

Yes. Received and outstanding quantities can be tracked separately, with authorised steps for later receipt, return or closing a discrepancy.

WHAT YOU CAN ASK FOR

## How do I work?
Work-hour packages

Tell me about your business and what you need on WhatsApp or by phone; we agree on **a work block of somewhere between 5 and 40 hours** and I start doing what is needed. What you get is not a calendar window — it is net working hours spent directly on your business. I can use 40 hours working three days straight, or deliberately spread it out and finish it over a year — whatever the work calls for. I do not spend my time estimating how long something will take, I spend it doing the work; every hour I spend leaves a lasting result in your business. We keep going for as long as you find it useful.

WORK BLOCKS

## Why not monthly?
Is 40 hours a week?

On a fixed monthly fee both sides are watching the wrong thing: you watch a fixed cost, the other side watches how many more contracts like this they can line up. Working by the hour puts us both in front of the same thing — the real value of the work that got done. I know not having an upfront answer to "how much will this cost in total?" is the natural cost of this model. But instead of paying a fixed fee for months to a setup that is not producing results, you only pay for the qualified time spent on your work — and you see exactly where that time went, start to finish. That is why my clients keep coming back.
