AI Subscription Audit | Stop Overpaying

3 min read29 July 2026

A trend started in 2026: companies subscribed to one AI tool after another, adding a new plan for every new need. Now many businesses are paying, stacked on top of each other, for ChatGPT, Canva, an automation tool, a writing tool, maybe a few niche tools — and often two different tools are doing the same job.

In a subscription audit, I map out your current tool list and we see which ones are actually being used, which ones overlap, and which ones got upgraded to a plan they don’t need. The result is usually a simpler, cheaper setup doing the same work with fewer tools.

How tool inflation happens

Usually nobody’s acting in bad faith: one team member subscribes to a tool for one need, someone else subscribes to a different tool for a different need. Over time, nobody sees the full list, nobody’s tracking which tool is still in use. By year-end, when you look at the total invoice, the number is startling.

The first step of the audit is simple: bring every subscription together into a single list, with who uses it and what for. That list alone is usually enough to reveal several unnecessary subscriptions.

How simplification is done

We identify overlapping tools (like two different writing or design tools doing the same job) and decide together which one should stay. Sometimes a single tool can take over the job of several separate ones; sometimes you find you’ve upgraded to a high-tier plan when the lower tier would’ve been enough.

The goal isn’t picking the cheapest option — it’s keeping what’s actually used and actually works. A cheap but unused tool is also a waste of money.

Enterprise version

This service is the enterprise-scale version of the “which tool” comparison content I write for individual users. When multiple teams and departments at a company are involved, the audit gets a bit more extensive, but the logic stays the same.

How do we start? First, we have a free 20-30 minute initial call. We talk about what you want and what’s realistic. If it works for you, I send the scope and price in writing, then we start. You can reach out via the contact page.

Frequently Asked Questions

How many tools does this audit make sense for?

If you’re subscribed to three or more AI tools, the audit generally pays for itself. If you’re only using one tool, you probably don’t need this.

Do you decide which tool I should keep?

I offer a recommendation but leave the decision to you, because team habits and preferences matter too — the cheapest tool doesn’t save you anything if the team won’t adopt it.

How much do people typically save?

It varies company to company, but where there’s a lot of overlapping subscriptions, there’s usually a noticeable drop. Rather than giving a fixed number, I show you the clear picture after the audit.

Is the audit a one-time thing?

The first audit is one-time, but since tools change fast, I recommend repeating it once a year; if you’d like, we can also set this up as a recurring service.
