# Asset Checkout and Custody Tracking App

[Oğuz Erol](https://oguzerol.com/en/about-me/) | 3 min read

An asset list can show that a laptop exists without explaining who currently holds it or whether its return has been checked. I build asset checkout applications that keep handovers, user changes and return inspections attached to one equipment identifier.

Changing the current holder must not erase the previous handover. Requesting a return is also different from physically receiving and inspecting the item.

## Example: Ece holds LT-014

In the illustrative record, laptop LT-014 was issued to Ece on 3 October. Its status is Checked out. When the return process begins, the record shows Return inspection pending.

The laptop does not return to the available list until it has been received and the agreed inspection completed. Condition, accessories and a handover note can be recorded alongside the movement.

A confirmation in this workflow is an operational record. It is not presented as a qualified electronic signature unless a suitable signature service is separately implemented. The organisation determines the wording and intended use of its handover documents.

## When an asset spreadsheet is sufficient

A single store with occasional handovers may work well with an Excel register. Existing asset-management software may already handle assignment, returns and maintenance.

Custom development becomes useful when equipment moves between branches, different people approve issue and return, or employees should only see their own equipment. Existing asset identifiers can be retained; a new application does not necessarily require relabelling the entire inventory.

## Preventing conflicting assignments

If LT-014 is still assigned to Ece, a new handover checks that current state. Where exclusive custody applies, a second assignment is blocked.

Shared equipment needs a different model, with a responsible person, usage interval and possibly reservations. It should not be forced into an exclusive employee-assignment rule.

When someone leaves, their asset records remain. Open handovers move to a return or authorised transfer queue. Missing, damaged and under-maintenance items stay distinct from available stock.

An incomplete return does not close as successfully received. The accepting person and decision time are recorded. Repeating the same submission must not create two movements. [Record change history](https://oguzerol.com/en/record-change-history/) supports later review.

## Delivery and related workflows

The initial scope can include an asset register, issue form, employee view and return queue. Serialised equipment is tracked individually. A laptop handover and a quantity of consumable materials require different record models.

Equipment can connect to [periodic maintenance tracking](https://oguzerol.com/en/periodic-maintenance-tracking-app/). Whether maintenance status prevents a new checkout is an agreed rule.

If barcode or QR scanning is included, it is tested with the intended phone or scanner. Producing a code image alone does not establish that the operating workflow works.

I test duplicate assignments, incomplete returns, departing staff and damaged assets. The handover defines how new equipment types, document templates and access changes are maintained.

## Frequently Asked Questions

### Can employees see only their own equipment?

Yes. The employee view can be limited to their current and previous handovers. Store staff and managers receive separately defined access.

### Does this include purchasing and accounting?

Those fields or integrations can be added. The core scope here is custody and equipment movements; depreciation and accounting processes are considered separately.

## Discuss your workflow

WHAT YOU CAN ASK FOR

## How do I work?
Work-hour packages

Tell me about your business and what you need on WhatsApp or by phone; we agree on **a work block of somewhere between 5 and 40 hours** and I start doing what is needed. What you get is not a calendar window — it is net working hours spent directly on your business. I can use 40 hours working three days straight, or deliberately spread it out and finish it over a year — whatever the work calls for. I do not spend my time estimating how long something will take, I spend it doing the work; every hour I spend leaves a lasting result in your business. We keep going for as long as you find it useful.

WORK BLOCKS

## Why not monthly?
Is 40 hours a week?

On a fixed monthly fee both sides are watching the wrong thing: you watch a fixed cost, the other side watches how many more contracts like this they can line up. Working by the hour puts us both in front of the same thing — the real value of the work that got done. I know not having an upfront answer to "how much will this cost in total?" is the natural cost of this model. But instead of paying a fixed fee for months to a setup that is not producing results, you only pay for the qualified time spent on your work — and you see exactly where that time went, start to finish. That is why my clients keep coming back.
