# WhatsApp Opt-In and Preference Management

[Oğuz Erol](https://oguzerol.com/en/about-me/) | 3 min read

A saved telephone number does not show which messages a customer wants to receive. Someone may permit order updates while declining marketing. I build a panel that records these preferences by purpose, source and date, then checks them again before a message is sent.

The panel supports the rules your business has defined. It does not replace a legal assessment of permission wording or guarantee compliance by itself.

## Example: C-31 permits order updates only

In the illustrative record, order updates are enabled for C-31 and marketing is disabled. The preference was saved through a web form on 3 October at 14:20.

An eligible order update can proceed to the remaining messaging checks. A marketing message is blocked by the recorded preference.

If the customer later disables order updates, the new preference is recorded without removing the history. Relevant messages still waiting in the queue are checked again. Eligibility when a message was queued may differ from eligibility when it is sent.

Messages already sent remain in the history. Deleting them would not undo the communication.

## When the existing CRM is enough

If your CRM records the purpose, source, time and withdrawal of permission, and your messaging tool applies those records correctly, another permission database may be unnecessary.

A custom panel is useful when several forms collect preferences or different systems disagree about the current value. I first establish which system owns each field. Keeping two independent preference lists can create exactly the uncertainty the panel is supposed to resolve.

A spreadsheet may remain the source, but changing a cell is not evidence that every queued message has been updated.

## Checks before sending

The workflow evaluates the person, channel and message purpose together. Unclear or conflicting records go to review rather than being treated as permission.

Changes identify who made them and where they originated. Record merges need an explicit rule about which preferences remain valid. Staff access to preference history is restricted, and corrections preserve the reason for changing a mistaken contact relationship.

The [WhatsApp Business Messaging Policy](https://whatsappbusiness.com/policy/) requires permission and respect for opt-out requests. Approved templates are also required outside the 24-hour service window. A permission record does not remove the template requirement, and template approval does not establish recipient permission.

## Application scope and testing

Connected [order notifications](https://oguzerol.com/en/whatsapp-order-status-notifications/) can call the preference check before sending. The scope lists every connected messaging route. A panel controlling one integration cannot claim to prevent manual sends from an unrelated tool.

The first delivery can include a preference form, staff views, change history and sending checks. Tests cover valid permission, withdrawn preferences, conflicting records and withdrawal while a message is queued.

[Record change history](https://oguzerol.com/en/record-change-history/) helps explain how the current preference was reached. Retention and deletion rules follow the policy your business has agreed.

## Frequently Asked Questions

### Does this panel guarantee legal compliance?

No. Your relevant advisers determine whether the wording and communication purposes are appropriate. I implement the agreed recordkeeping and workflow controls.

### Can an old customer list be marked as opted in?

Not simply because it contains telephone numbers. The source and scope of the existing permission need to be established first.

WHAT YOU CAN ASK FOR

## How do I work?
Work-hour packages

Tell me about your business and what you need on WhatsApp or by phone; we agree on **a work block of somewhere between 5 and 40 hours** and I start doing what is needed. What you get is not a calendar window — it is net working hours spent directly on your business. I can use 40 hours working three days straight, or deliberately spread it out and finish it over a year — whatever the work calls for. I do not spend my time estimating how long something will take, I spend it doing the work; every hour I spend leaves a lasting result in your business. We keep going for as long as you find it useful.

WORK BLOCKS

## Why not monthly?
Is 40 hours a week?

On a fixed monthly fee both sides are watching the wrong thing: you watch a fixed cost, the other side watches how many more contracts like this they can line up. Working by the hour puts us both in front of the same thing — the real value of the work that got done. I know not having an upfront answer to "how much will this cost in total?" is the natural cost of this model. But instead of paying a fixed fee for months to a setup that is not producing results, you only pay for the qualified time spent on your work — and you see exactly where that time went, start to finish. That is why my clients keep coming back.
