# Order Forms with Repeatable Line Items

[Oğuz Erol](https://oguzerol.com/en/about-me/) | 4 min read

One customer orders two products; another needs ten. A form does not have to present both with the same fixed set of empty product boxes. I build order forms where the customer selects **Add item**, enters the details for that line and repeats the process only as needed.

The same approach works for participants on an application, equipment on a service request or packages in a shipment. There is one parent record, with separately identified items underneath it. That structure makes later corrections and item-level reporting much clearer.

## Example: two lines and a visible subtotal

The illustration uses fictional prices: **2 cables × €100 = €200**, plus **1 adapter × €150 = €150**. The **subtotal is €350**. It is not presented as a final amount including tax, delivery or discounts.

Removing the adapter returns the subtotal to €200. Adding another line opens fields for that item. If the same cable is selected twice, we decide whether to combine quantities or preserve separate lines for a reason such as different delivery dates. The server recalculates submitted totals; a value displayed in the browser is not accepted as proof of the price.

## Fixed questions and repeatable records

Google Forms has a [question group and grid model](https://developers.google.com/workspace/forms/api/reference/rest/v1/forms#QuestionGroupItem) for organising predefined questions. A simple form or spreadsheet may be sufficient when the product list and number of entries are small and fixed. Suitable form extensions or other existing tools are also worth considering.

This service addresses a different requirement: the applicant adds complete product records, each with its own fields and validation. Sizes, serial numbers, delivery dates and supporting files are easier to manage as item data than as a long value in one cell. A [product autofill form](https://oguzerol.com/en/product-customer-autofill-form/) can bring catalogue details into each selected line.

## Checks that follow every line

An empty row should not become an order item. Zero quantities or fractions that the product does not support should produce a useful message next to the affected line. If a product becomes inactive while an order is still a draft, the customer needs to see what to replace before submitting.

Price changes require an explicit policy too. An old draft should not quietly become a different commercial offer. A refreshed price may require confirmation. Where an authorised employee can apply a discount, I separate that permission from ordinary customer entry and retain the reason for the change.

Double-clicking the submit button must not create two orders. Removing a line that already has a shipment or quote reference may need cancellation rather than deletion. These rules connect naturally with a [price calculation screen](https://oguzerol.com/en/price-cost-calculation-screen/).

## Delivery and ongoing ownership

I define the item fields, catalogue source, calculation rules and practical order limits before building. We test adding rows on a phone, returning to an invalid item and reviewing the final order summary. If an Excel export is required, it preserves both the parent order and the line identifiers.

The maintenance scope states who updates products and how historic orders retain their accepted prices. Customer-specific catalogues can later sit within a [dealer ordering portal](https://oguzerol.com/en/dealer-order-entry-portal/), without changing the basic relationship between an order and its items.

## Frequently Asked Questions

### Can users add unlimited items?

We set a limit appropriate to the workflow and test the interface and processing time. Unlimited usage is not a sensible promise before those requirements are known.

### Can customers edit the calculated total?

The server validates the calculation. Any permitted price override is designed as a separate authorised action, rather than a customer-editable total field.

## Discuss your workflow

[Share your current order sheet](https://oguzerol.com/en/contact/) or an empty form. I can map a repeatable item interface to the products and exceptions your team actually handles.

WHAT YOU CAN ASK FOR

## How do I work?
Work-hour packages

Tell me about your business and what you need on WhatsApp or by phone; we agree on **a work block of somewhere between 5 and 40 hours** and I start doing what is needed. What you get is not a calendar window — it is net working hours spent directly on your business. I can use 40 hours working three days straight, or deliberately spread it out and finish it over a year — whatever the work calls for. I do not spend my time estimating how long something will take, I spend it doing the work; every hour I spend leaves a lasting result in your business. We keep going for as long as you find it useful.

WORK BLOCKS

## Why not monthly?
Is 40 hours a week?

On a fixed monthly fee both sides are watching the wrong thing: you watch a fixed cost, the other side watches how many more contracts like this they can line up. Working by the hour puts us both in front of the same thing — the real value of the work that got done. I know not having an upfront answer to "how much will this cost in total?" is the natural cost of this model. But instead of paying a fixed fee for months to a setup that is not producing results, you only pay for the qualified time spent on your work — and you see exactly where that time went, start to finish. That is why my clients keep coming back.
