# Excel Dependent Drop-Down List: Build Linked Choices

## Key takeaways

- Named ranges and validation create linked choices; existing answers still need separate checks.
- A long catalogue benefits from product search and details rather than scanning every dropdown option.
- Team entry needs user accounts, a shared database and save-time validation designed together.

An Excel dependent drop-down list narrows the choices in a second cell using the value selected in the first. When the category is Cable, offer cable connectors; when it is Adapter, offer adapter options. A small catalogue can start with named ranges and data validation. Build a working example in the workbook before adding more rules.

## Prepare a small catalogue

On a helper sheet, put `Cable` and `Adapter` in A2:A3 and name that range `Categories`. Put `USB-C` and `USB-A` in B2:B3. Put `USB-C-HDMI` and `USB-C-Ethernet` in C2:C3. Name those two ranges `Cable` and `Adapter`. The category text must match the relevant range name. Spaces, spelling differences and renamed categories need attention.

On the input sheet, use B2 for the category and C2 for the connector. Open Data → Data Validation, choose List, and enter `=Categories` as the source for B2. For C2, choose List and use `=INDIRECT(B2)`. INDIRECT turns the text in B2 into a reference to the named range. Formula names differ in a localised Excel installation: in Turkish Excel the function is called `DOLAYLI`, so the source would be `=DOLAYLI(B2)`, and multiple arguments are separated by `;`. [Microsoft documents data validation](https://support.microsoft.com/en-us/excel/get-started/apply-data-validation-to-cells) and the [INDIRECT function](https://support.microsoft.com/en-us/excel/functions/indirect-function).

This example serves one input row. If you copy validation to many order rows, check the relative references: each connector cell should depend on its own category cell. A rule pointing to the previous row may offer a perfectly valid list for the wrong product. Test blank categories as well as valid choices.

## Test the value already in the cell

Choose Cable in B2 and USB-C in C2. Then change B2 to Adapter. The available connector list can change while the old connector value remains in C2. Do not assume that a dependent list clears existing answers. Changing the options and resetting the selected value are separate behaviours.

For occasional use, manually clearing the second cell may be enough. A macro can add behaviour, but it is additional code with deployment and maintenance requirements. It is not required merely to create this two-level list. Before sharing the workbook, test the error alert settings and review values that were entered before the rule existed.

Keep the catalogue orderly. Replacing an option name may affect what users select without explaining what an old record originally meant. For recurring orders, retaining a stable product code alongside the visible name makes reconciliation easier. A dropdown label alone is a weak identifier for long-term records.

## A team’s entry system needs more than an Excel list

When several people enter orders, narrowing the next dropdown is only part of the job. Which products can sales select? Who maintains the catalogue? Which fields remain editable after approval? Sharing a workbook does not, by itself, define those rules. I can build a web application with individual user accounts and records held in a shared database.

Users can search a long catalogue by name or code, filter by connector and length, and see dimensions and stock before selecting. A [searchable product selection screen](https://oguzerol.com/en/searchable-product-selection-screen/) gives us control over that workflow rather than relying on the standard dropdown interface.

In an illustrative order, sales enters product and quantity without changing the catalogue; a manager approves the record; a duplicate order number is rejected. The server checks permissions and the product relationship when saving. A [rule-based data entry form](https://oguzerol.com/en/rules-based-data-entry-form/) explains those checks to the person entering data.

The first version does not need to be a large software project. We can begin with the necessary screen, roles and migration, then expand as needed. We distinguish catalogue options managers can change in a panel from new rules that require development.

## When product rules need more than a list

In an illustrative business catalogue, Cable → USB-C → 1 metre identifies **K-101 with stock 24**. In a custom web form, changing the category to Adapter can clear the old connector and length and request a fresh choice. That is explicitly designed application behaviour, not an automatic result of the Excel formula above.

Customer access, stock availability and approval status may also constrain the selection. A form can recheck these conditions at submission rather than trusting an option displayed earlier. This is where I consider [dependent dropdown custom forms](https://oguzerol.com/en/dependent-dropdown-custom-forms/). ## Frequently Asked Questions

### Does this method require a range per category?

Yes, in this basic version. A large catalogue may be easier to maintain as a structured table with filtered choices.

### Does validation repair existing records?

No. Review old values separately, especially after changing the catalogue.
