# ChatGPT and Claude Setup for Companies: Plans, Settings, Training

[Oğuz Erol](https://oguzerol.com/en/about-me/) | 13 min read

I set up ChatGPT Business or Claude Team for your company: plan and seat choice, admin and sign-in settings, the first shared assistants your team will use, one-on-one training and a check on the first 30 days. We do it remotely over screen share, in your own account; the account and the invoice stay with you. Short answer: as of 13 October 2026 the standard seat costs the same on both products, $20 per person per month on annual billing or $25 on monthly, excluding tax. Price doesn’t decide it; what your team already uses does.

## What do I set up?

1. **Plan and seats.** How many people, who gets a standard or a premium seat, monthly or annual billing.
2. **Account structure.** An owner account in the company’s name, at least two admins, sign-in with the company account (SSO) and invitations.
3. **Day-one decisions.** The checklist below and a one-page usage policy.
4. **Shared assistants.** Assistants with instructions and documents ready for 3-5 of your team’s repeated tasks.
5. **Training.** One-on-one with you or a person you choose from your team, billed hourly. Details on the [AI usage training](https://oguzerol.com/en/ai-usage-training/) page.
6. **The first 30 days.** Who uses it, who dropped off, which seat you pay for and nobody opens.

The real payoff of a setup is pulling company knowledge that staff are already pasting into personal accounts (often called shadow AI) into a managed workspace. I don’t give legal opinions on data protection law, and custom software built on the API isn’t what this page covers.

## Why ChatGPT or Claude when you already have Microsoft 365 or Google Workspace?

If your team does most of its work inside documents and email, look at what your current suite already gives you first; a separate AI subscription makes sense when the team wants long-form writing, analysis or shared assistants. Before setup, we check together in your admin console which licence gives you access to Copilot or Gemini. The two worlds don’t exclude each other: Claude Team has connectors for Google Drive, Gmail, Google Calendar, Microsoft 365 and Slack ([Anthropic, Team plan](https://support.claude.com/en/articles/9266767-what-is-the-claude-team-plan)), so running Workspace or M365 is no obstacle to using Claude.

## ChatGPT Business or Claude Team?

For a small or mid-sized team the two products are almost identical on price and basic administration; the difference is which tool your team already knows and how shared assistants are built. Side by side (as of 13 October 2026, USD, excluding tax):

| | ChatGPT Business | Claude Team |
| --- | --- | --- |
| Former name | ChatGPT Team (renamed 29 August 2025) | — |
| Team size | 2–200 (for workspaces created on or after 24 August 2026; older ones keep their previous limit) | 2–150 |
| Standard seat | $20/mo annual, $25/mo monthly billing | $20/mo annual, $25/mo monthly billing |
| Premium seat | $100 / $125; 5x standard usage, no 5-hour limit | $100 / $125; 5x standard usage |
| Standard seat usage | No fixed message count published; a five-hour usage limit applies (not on premium) | 1.25x the Pro plan’s per-session allowance, weekly limit, per member |
| Sign-in with company account (SSO) | Yes | Yes |
| Automatic user provisioning (SCIM) | Enterprise only | Enterprise only |
| Model training on business data | Not by default | Not by default |
| Where data lives | Region choice only in new Enterprise and Edu workspaces; 10 regions incl. Europe | Stored in the US |
| Extras | Usage analytics, spend controls | Up to $500 a month of pooled API credit |
| When you grow | Enterprise: price not published, through sales | Enterprise: $20/seat/month (annual only) + usage at API rates; minimum 20 seats self-serve or 50 through sales |

On both products, usage beyond the limit can continue if an admin allows extra credits.

Prices and seat rules have changed in recent months; OpenAI introduced the 200-seat cap on 24 August 2026. Check those pages again before you buy.

I do most of my own work in Claude, and for a team starting from zero my first recommendation is Claude Team. If your team already uses ChatGPT on personal accounts, moving them into the business workspace of the same product causes less friction; how that works is below.

## What does a 10-person company pay per year?

For a 10-person team, licences alone cost between $2,400 and $5,400 a year at list prices as of 13 October 2026; the gap comes from seat type and billing period. Figures are USD excluding tax. Since both products cost the same, the table applies to either.

| Scenario | Monthly | Yearly |
| --- | --- | --- |
| 10 standard seats, annual billing | $200 | $2,400 |
| 10 standard seats, monthly billing | $250 | $3,000 |
| 8 standard + 2 premium, annual billing | $360 | $4,320 |
| 8 standard + 2 premium, monthly billing | $450 | $5,400 |
| Both products, 10 standard seats each, annual | $400 | $4,800 |

Annual billing saves $600 a year on 10 standard seats. If your headcount isn’t settled yet, a month on monthly billing before committing to a year is the safer route. I recommend premium seats only for people who genuinely hit the standard limit. Open the second product only for the people who will use it regularly, not for everyone; each product needs at least 2 seats. Setup and training time isn’t in this table. For Claude, claude.ai/upgrade shows the price for your location; Anthropic notes that pricing, currency and tax handling vary by region. Show the first invoice to your accountant; how a foreign digital service is booked is their call, and I don’t give tax advice.

## Which settings do you decide on day one?

On day one I recommend eight decisions; most of them aren’t about flipping a switch but about answering “who, what, where” once. I don’t list admin menu names on purpose because the panels change; we find them together on your screen during setup.

| Decision | My recommendation | Why |
| --- | --- | --- |
| Owner and admins | Owner account on a company email, at least two admins | The workspace doesn’t become ownerless when one person leaves |
| Sign-in | Connect SSO to your identity provider (e.g. Google Workspace, Microsoft Entra) | Access is managed in one place |
| Model training | Leave it alone; training on business data is off by default on both | Claude has one exception: if a user deliberately sends a chat as feedback or a bug report, that conversation can be used. I tell the team |
| Seat type | Everyone starts on standard | Premium once usage shows it’s needed |
| Connectors (Drive, M365, Slack, etc.) | Off in week one | First an assistant with files, where it’s clear what it reads |
| Data that stays out | A short list: ID numbers, health data, card details and so on | Details in [AI data security](https://oguzerol.com/en/ai-data-security/) |
| Personal accounts | Company work happens only in the company workspace from now on | Personal plans have different data rules; on Claude’s individual plans, training is an option the user has to turn off |
| Data protection decisions | The three items below, with your legal adviser | Data may be processed outside your country |

Three data protection decisions need to be discussed by name before setup; your legal adviser makes the call, I put the list on the table:

1. **Data processing agreement (DPA).** Anthropic’s DPA is incorporated into its Commercial Terms; accepting the terms accepts the DPA ([Anthropic Privacy Center](https://privacy.claude.com/en/articles/7996862-how-do-i-view-and-sign-your-data-processing-addendum-dpa)). OpenAI executes a DPA for ChatGPT Business through its own form ([OpenAI, enterprise privacy](https://openai.com/enterprise-privacy/)).
2. **Legal basis for cross-border transfer.** Which transfer mechanism applies under your law (for example standard contractual clauses) and any notification it requires.
3. **Transparency.** If customer or employee personal data will go into an assistant, how those people are informed. If it won’t, make that a written rule.

Alongside these decisions we write a one-page usage policy. Its headings: which tool is allowed (the company workspace only), which data never goes in, which data goes in only anonymised, who checks text that goes to customers, how figures and sources are verified, and who to tell when something looks wrong.

## What happens to personal accounts and to people who leave?

In ChatGPT an employee can merge their personal workspace into Business; in Claude I don’t rely on any such move and rebuild the instructions and documents that worked inside the company workspace. According to OpenAI, a merge copies supported content into Business, but you can’t pick individual chats, projects or files, and there is no undo (OpenAI Business FAQ). So we decide merge-or-not person by person. In Business, admins can’t see members’ private chats by default.

When someone leaves, the two products behave differently:

- **ChatGPT Business.** There is no self-service data export. Removing a member frees the seat but doesn’t reduce the paid seat count; the reduction is scheduled for the next billing cycle. Give the freed seat to the next hire or schedule the reduction right away.
- **Claude Team.** The organisation’s Primary Owner manages the account and all its data, can remove a person’s access and can request a data export that includes their conversations and files ([Anthropic Privacy Center](https://privacy.claude.com/en/articles/9265372-who-owns-and-manages-the-data-of-my-team)).

On both products SCIM, which closes users automatically from your identity system, is Enterprise-only; on Business and Team an admin removes access by hand. During setup we remove a test user and look together at what happens to the assistants they shared. From that I set two rules: I build the assistant the team uses every day under an admin’s account, not an employee’s; and we add one line to the offboarding checklist: “Close the AI seat and check the assistants they shared.”

## Should company knowledge go in as files or through a connector?

For the first month I put company knowledge into shared assistants as selected files rather than through a connector; it’s clear what the assistant reads, and a wrong answer is easy to trace. When a connector is turned on, both products apply each employee’s own permissions. In Claude, an owner first enables the connector for the organisation, each employee connects their own account, and Claude can’t reach information the person can’t already access in Google Workspace ([Anthropic, Google Workspace connectors](https://support.claude.com/en/articles/10166901-use-google-workspace-connectors)). In ChatGPT, admins choose which apps are enabled and ChatGPT respects your organisation’s existing permissions. The practical consequence: if Drive files are shared as “anyone with the link”, the assistant sees them too. We clean up sharing settings before turning a connector on.

In Claude, a shared assistant is built as a Project; I wrote up the steps in [building a company assistant with Claude Projects](https://oguzerol.com/en/building-a-company-assistant-with-claude-projects/). In ChatGPT I don’t build shared assistants as custom GPTs today: according to OpenAI’s timeline, creation of new custom GPTs ends on 26 October 2026 (planned), and existing GPTs retire on 11 December 2026 and move to plugins ([OpenAI, custom GPT retirement FAQ](https://help.openai.com/en/articles/20001519-custom-gpt-retirement-and-migration-faq)).

## Which shared assistants should come first?

I pick the first shared assistant from the task your team repeats most often and whose output one person can check. In automation work, the most common mistake I see is picking the first job from the most complex process; I apply the same rule to shared assistants.

| Assistant | What goes in | First line of the instructions |
| --- | --- | --- |
| Customer email | Past good replies, tone rules | “Write a draft, don’t send; don’t state a price you’re unsure of.” |
| Quote text | Service list, standard terms | “Use only items on the list; if it’s not there, ask.” |
| Internal FAQ | Leave, expense and procedure documents | “If it’s not in the documents, say so.” |
| Meeting notes | Note template | “List decisions, owners and dates separately.” |
| Announcements and listings | Brand voice, past examples | “No inflated adjectives, no invented numbers.” |

Every assistant has an owner, the person who updates it when a document changes.

One-on-one training covers five topics: data that never goes into an assistant; spotting answers the AI made up (hallucination); checking figures and sources; using shared assistants and writing good instructions; and watching for instructions hidden inside documents or emails (indirect prompt injection).

## What do I watch in the first 30 days?

In the first 30 days I watch one question: is the team really using the company workspace, or drifting back to personal accounts?

| Period | What we do | The signal |
| --- | --- | --- |
| Day 1 | Setup, invitations, first two assistants | Could everyone sign in |
| Week 1 | One-on-one training | Did each person do at least one real task with an assistant |
| Week 2 | Fixing instructions | Questions the assistant got wrong or couldn’t find in its documents |
| Week 3 | Seat review | Who hits the limit (premium candidate) and who never opens it |
| Week 4 | Decision | Annual billing, assistants 3-5, connectors |

ChatGPT Business shows usage analytics in the admin panel. On Claude Team, limits are per member and each person sees their weekly reset time under Usage in their own settings. Alongside that we ask the team one question a week: “What did you use the assistant for this week?” After four weeks, I recommend closing any seat nobody opens.

## When don’t you need this?

- **If you’re one person.** Both business plans need at least 2 people; an individual plan is enough.
- **If data must stay in a specific country.** ChatGPT offers data residency only in its listed regions and only for new Enterprise and Edu workspaces ([OpenAI, data residency](https://help.openai.com/en/articles/9903489-data-residency-and-inference-residency-for-chatgpt)); Claude stores data in the US.
- **If SCIM, audit logs or custom retention are requirements.** Business and Team won’t do; you need Enterprise (minimum 20 seats on Claude).

## How do we start?

Message me on WhatsApp or through the [contact page](https://oguzerol.com/en/contact/) with how many people you have, which tool the team already uses on personal accounts, and the first task you’d hand to an assistant. Once you pick one of the work-hour packages at the bottom of this page, we start with the first call and settle the scope there.

## Frequently Asked Questions

### How many hours does the setup take?

I don’t have an hour average specific to account setups, and I won’t make one up. My small, well-defined AI jobs usually take between 2 hours and 2 weeks. Here the time depends on the number of people, the number of assistants and how many people join one-on-one training; once the scope is clear I give you an hour range in writing.

### Are ChatGPT Team and ChatGPT Business the same thing?

Yes. OpenAI renamed the Team plan to Business on 29 August 2025; existing Team workspaces became Business workspaces without needing a new one. If a guide still says “ChatGPT Team”, its information may be out of date.

WHAT YOU CAN ASK FOR

## How do I work?
Work-hour packages

Tell me about your business and what you need on WhatsApp or by phone; we agree on **a work block of somewhere between 5 and 40 hours** and I start doing what is needed. What you get is not a calendar window — it is net working hours spent directly on your business. I can use 40 hours working three days straight, or deliberately spread it out and finish it over a year — whatever the work calls for. I do not spend my time estimating how long something will take, I spend it doing the work; every hour I spend leaves a lasting result in your business. We keep going for as long as you find it useful.

WORK BLOCKS

## Why not monthly?
Is 40 hours a week?

On a fixed monthly fee both sides are watching the wrong thing: you watch a fixed cost, the other side watches how many more contracts like this they can line up. Working by the hour puts us both in front of the same thing — the real value of the work that got done. I know not having an upfront answer to "how much will this cost in total?" is the natural cost of this model. But instead of paying a fixed fee for months to a setup that is not producing results, you only pay for the qualified time spent on your work — and you see exactly where that time went, start to finish. That is why my clients keep coming back.
