# AI That Answers Your Phone | Voice Assistant

## Quick summary

What a voice AI that answers your business line can and can't do, how it compares with a human answering service, when not to set one up, and the privacy rules.

An AI that answers your phone is software that talks to whoever calls your business line: it turns speech into text, builds an answer from the information you gave it, and reads the answer back in a voice. It answers common questions, takes appointment or information requests, and when it can’t handle a call it hands it to a person or leaves a callback. The caller dials your usual number, and most callers notice they’re talking to a machine.

This page is about a system that answers a business line. If you’re looking for the voice assistant on your own phone (Siri, Gemini and the like), that isn’t this.

## Do you need one? Count your missed calls first

Before setting anything up, measure: how many calls do you miss in a week, and how many of those could have been customers? Your phone provider’s or switchboard’s call log shows unanswered calls. If the number is small, a voice assistant pays back slowly. If dozens a day go unanswered and most are appointment or price questions, it can make sense. Don’t rely on a generic “missed call rate” figure; look at your own line.

## The alternatives: assistant, human answering service, voicemail

| | Voice AI | Human answering service | Voicemail + callback |
| --- | --- | --- | --- |
| After hours | Answers | Depends on the service’s hours | A message is left; the caller may not leave one |
| Two calls at once | Answers both | Depends on staff | Both go to voicemail |
| Complaint, angry caller | Weak; should hand off | Good | You speak to them |
| Unusual question | Doesn’t know what you haven’t defined | Good, asks around | You answer |
| Cost | Setup plus usage fees, depends on the tool | Per person or per minute, depends on the service | Low, but the callback is on you |

I don’t give prices: they depend on the provider, the call volume and the setup scope, so any fixed number would mislead. Ask for quotes from each option using your own call volume.

## What it can do, and what it can’t

**What it handles:** answering questions like hours, address and price range; booking or rescheduling appointments; taking the caller’s name, number and request and passing them to the right person; taking simple orders or reservations.

**What it shouldn’t handle:** resolving complex complaints, managing emotionally charged conversations, making decisions in areas like health or law. For these the system must be set up to hand off to a person. “AI handles everything” is not a realistic setup.

**Delay:** speech is turned into text, then into an answer, then into voice, so there is a short pause before each reply. How long depends on the setup and the tools used; I don’t quote an average. Listen to a real demo before deciding.

**Turkish:** not as mature as English, but usable. Accent, speaking speed and background noise affect recognition. Before setup I let you listen to a demo with a real call recording.

## What a call looks like (example scenario)

At a dental clinic or a salon it might go like this; this is an example, not a real customer record:

1. The caller says “I’d like an appointment on Friday.” The assistant asks which service.
2. It reads out free slots from the calendar and the caller picks one.
3. It takes the name and number, writes the appointment to the calendar and sends a confirmation message.
4. If the caller says “I’m in pain, it’s urgent,” the assistant leaves the booking flow and hands the call to the person you named, or calls you.

The handoff rules are written up front: which words, which situations, to whom. Getting those right matters more than building the assistant itself.

## What setup needs

- **Call routing:** your existing number pointed at the assistant. The details depend on your phone infrastructure, so I look at that first.
- **Information:** hours, services, price range, address, common questions. The assistant should say only what you wrote.
- **A calendar or record store:** if it books appointments, the calendar it connects to.
- **Handoff rules and a number:** the situations where a human steps in.

Then we test with real calls and adjust tone and answers. Once it’s live I watch for unanswered questions and places where callers get stuck, and fix them.

## Call recording and privacy law

If the assistant records or transcribes calls, that is personal data processing. Under Turkey’s KVKK (Article 10; the GDPR sets a comparable duty in the EU/UK), you as the data controller must tell the caller, before processing, who you are, why the data is processed, who it may be passed to, how it is collected and on what legal basis, and what rights they have under Article 11 ([KVKK, notification obligation](https://www.kvkk.gov.tr/Icerik/2033/Aydinlatma-Yukumlulugu-), as of October 2026). On the phone the practical way is a short spoken notice at the start of the call. How long the recording is kept, who can access it and where the transcript is made should also be settled. This is not legal advice; consult your own lawyer or a data protection specialist when drafting the notice. The GDPR in the EU/UK similarly requires you to tell people how their data is used, so a spoken notice is good practice there too. If you operate outside Turkey, your own country’s rules apply instead.

## When not to set one up

- You get a few calls a day and can answer most yourself.
- Most calls are complaints, emergencies or emotional conversations.
- Your answers change every time depending on the situation and the rule can’t be written down.
- Most callers want to speak to a person from the first sentence.

In those cases an answering service or a simple callback routine does the job better.

## Frequently Asked Questions

### Can callers tell they’re talking to a robot?

Usually yes, especially if they listen carefully. I don’t try to hide it; in some cases it’s a better experience for the caller to know. What matters isn’t a human-sounding voice, it’s solving the caller’s problem quickly.

### Do I need to change my phone line?

Usually no; it can work with your existing call routing. The details depend on your infrastructure and we clarify them at the start.

### Does it make sense for a small business?

It depends on how many calls you miss. With a few calls a day the payback is slow; with dozens of missed calls a day it comes back faster. Count your own call log first.
