Expense Tracking with AI Automation: Google Sheets or Excel

A receipt in your pocket, a bill in your inbox, a payment at the bank. Do you have to match everything yourself at the end of the month?

Full description

This video explains an AI automation workflow that brings receipts and bills into Google Sheets, Excel or another connected application. Dates, merchants, amounts and payment deadlines become structured records, while incomplete or suspicious documents go into a review queue.

Expense records are compared with credit card statements and bank transactions you authorize the workflow to access. Missing entries and mismatched amounts can reach you through Telegram, WhatsApp or email. A mismatch is not automatically an error: pending payments, delayed refunds and posting dates matter. Paying a credit card bill from your bank account must not count the original purchase twice.

You review uncertain matches and keep control of payment decisions. Follow Agentic AI Skills for concrete examples of how agents can take on everyday work.

The hard part of expense tracking is not putting documents in one folder. It is **understanding which event each document represents**. A bill records an amount due, a bank transaction records money moving, and a credit card statement records activity on the card account. Treating all of them as the same kind of entry can produce a tidy spreadsheet with misleading totals.

In this video, I explain an expense automation design. This is not a walkthrough of a finished accounting application or a claim that every connection is already configured. The aim is to show which tasks can go to AI, which need explicit rules, and which decisions should remain with the person reviewing the records.

## Reading a document is different from validating a record

Bills and receipts do not share a single layout. The total may appear at the bottom of one document and in a side column on another. AI can help extract fields such as date, merchant, amount, and payment deadline from these different formats. Finding a field does not, by itself, prove that it was read correctly or that the document is actually a bill. If you want to bring the documents into a spreadsheet first, my guide to [converting invoice and bank statement PDFs to Excel](https://oguzerol.com/en/pdf-to-excel-conversion/) covers document types and checks after import.

A promotional email with a payment button can resemble a purchase document. A quotation can also contain a total. Document type, required fields, and amount consistency therefore need separate checks. Missing information should keep a record in a review queue. A confident explanation from the model is not a replacement for the missing evidence.

*Illustrative data: an invitation to complete a purchase can be confused with evidence of an actual expense.*

## What should the Google Sheets or Excel record contain?

A date, description, and amount may seem sufficient for a basic expense list. For comparison, a link to the source document, currency, document type, payment status, and review status can also help. Preserving **the relationship between a document and its payment** lets you inspect the transaction behind a total when something looks wrong.

Google Sheets, Excel, or another application can be the destination for these records. The choice depends on available connections and how the team works. Mentioning an application does not mean bank or email access is automatically available. Those connections need their own configuration and authorization.

One status column should not carry several different meanings. “Checked” can mean that a document was reviewed, while “paid” describes a separate payment event. Creating a reminder for an unpaid bill must not mark that bill as paid.

## Reconciliation means more than finding similar amounts

Here, account reconciliation means comparing expense records with credit card statements and bank transactions. The goal is to find matches and **make unresolved differences understandable**. Dates, amounts, and merchant details are considered together. An uncertain match should not be presented as a confirmed result. When the records already sit in two spreadsheets, the guide to [comparing two Excel lists](https://oguzerol.com/en/comparing-and-matching-two-excel-lists/) explains how to clean key fields and separate missing or duplicate entries.

*Illustrative data: an internet bill and a book expense are recorded with separate statuses.*

A transaction may appear on a card statement without a corresponding expense entry. A recorded amount may differ from the card charge. A forgotten entry is one possible explanation, but so are a pending transaction, a delayed refund, or a different posting date. Detecting a difference starts a review; it does not automatically establish an error or wrongdoing.

Paying a credit card bill from a bank account is another important case. If the original card purchase has already been recorded as an expense, counting the transfer that settles the card balance as the same purchase again inflates spending. The distinction needs defined transaction types and account relationships, rather than text similarity alone.

## Let AI explain; keep calculations inspectable

Code or formulas with explicit rules can calculate totals, differences, and balances. AI can help interpret a document, suggest a category, and explain a finding in plain language. Keeping those roles separate allows a reviewer to check the calculation and the interpretation independently.

A useful notification does more than announce that something is wrong. It identifies the missing record, shows which entries disagree, and points to the document that needs attention. Telegram, WhatsApp, or email is the delivery channel for that review request. Linking to the relevant record can be clearer than copying every document detail into every notification.

## You do not need to automate every decision at the start

A practical first version can collect one document type, let someone inspect the extracted fields, and compare the result with an existing spreadsheet. Incorrect matches then reveal which rules need improvement. Adding automatic confirmation before understanding why records need review can simply reproduce mistakes faster.

This design does not require payment authority. Collecting documents, creating records, and reporting differences can be separate permissions, with payment decisions kept under human control. For the broader distinction between an agent and a predefined workflow, see the [Agentic AI guide](https://oguzerol.com/en/agentic-ai-guide/).

## Frequently Asked Questions

### Does every mismatch mean a record is wrong?

No. Pending card transactions, refunds, and posting dates can create differences. The workflow should show the relevant records and separate uncertain matches for review.

### Does this replace accounting software?

The design in the video addresses document collection and record checking. It is not presented as a replacement for an organization’s formal accounting records, processes, or responsible professionals.

### Can I use Excel instead of Google Sheets?

The workflow can be designed to send records to Excel or another application through a suitable connection. File location, access permissions, and the method used to update records are part of that setup.
