# Employee Leave Tracking and Approval App

[Oğuz Erol](https://oguzerol.com/en/about-me/) | 3 min read

A date range in a leave spreadsheet does not explain whether the request is pending or approved. It also does not establish when the balance changes or who needs to check team availability. I build leave workflows in which staff submit requests and managers make recorded decisions.

The application follows the entitlement and usage rules agreed by your organisation. It does not automatically establish legal entitlements for every employment arrangement or replace specialist advice.

## Example: a two-day request against ten days

In the illustrative screen, the employee has a balance of 10 days and requests 2 days. The request is Awaiting approval. In this example, no usage transaction is recorded yet, so the balance remains 10.

Approval records the two-day deduction and changes the balance to 8. “After approval: 8 days” is a preview, not a completed transaction.

If pending requests should reserve leave, available and confirmed balances can be shown separately. That is an explicit business rule rather than an assumption hidden inside the calculation.

## When a spreadsheet or HR product is sufficient

A small team with one responsible administrator may work well with a leave spreadsheet. An existing HR platform may already cover requests, decisions, calendars and balances.

Custom development becomes useful when branches have different approvers, cover arrangements vary, or operational teams need a limited availability view without access to personal details. [Assigned-record screens](https://oguzerol.com/en/assigned-records-tracking-portal/) can let employees see their own requests without receiving the entire staff dataset.

## Approval, cancellation and conflicting changes

If two managers try to approve the same request, the balance must not be deducted twice. The decision checks the current request state and records the change as one controlled operation.

Changing an approved date range can require a new review. The earlier decision should not automatically become approval for different dates.

Cancellation preserves the original usage transaction and records an appropriate reversal with its reason. Retrospective corrections have separate permissions. Overlapping requests from the same employee are checked as well.

The shared calendar may only need to show that someone is unavailable. Medical or other private reasons need not be visible to everyone who plans staffing.

## Implementation and handover

I identify leave types, opening balances, approvers and the applicable working calendar. Half-day or hourly requests require an agreed unit and rounding method.

Where a [shift planning application](https://oguzerol.com/en/shift-scheduling-web-app/) is involved, approved leave can feed its availability checks. The two workflows still retain their separate decisions.

The initial delivery can include the employee request screen, manager queue, team calendar and balance movement history. Tests cover pending requests, duplicate approval attempts, cancellation and a correction to an earlier period.

The handover explains who maintains calendars and how future rule changes affect existing records. Export formats and any connection to a payroll system are agreed separately.

## Frequently Asked Questions

### Does this replace payroll software?

The scope here is leave requests and approvals. Payroll integration requires an additional definition of the target format, ownership and checking process.

### Can opening balances be imported from Excel?

Yes. The effective date and person responsible for those balances are established first. Unclear records are reviewed rather than automatically accepted.

## Discuss your workflow

[Describe your current leave sheet and approval route](https://oguzerol.com/en/contact/). We can start with a workflow where staff can submit requests and every balance change has a visible decision behind it.

WHAT YOU CAN ASK FOR

## How do I work?
Work-hour packages

Tell me about your business and what you need on WhatsApp or by phone; we agree on **a work block of somewhere between 5 and 40 hours** and I start doing what is needed. What you get is not a calendar window — it is net working hours spent directly on your business. I can use 40 hours working three days straight, or deliberately spread it out and finish it over a year — whatever the work calls for. I do not spend my time estimating how long something will take, I spend it doing the work; every hour I spend leaves a lasting result in your business. We keep going for as long as you find it useful.

WORK BLOCKS

## Why not monthly?
Is 40 hours a week?

On a fixed monthly fee both sides are watching the wrong thing: you watch a fixed cost, the other side watches how many more contracts like this they can line up. Working by the hour puts us both in front of the same thing — the real value of the work that got done. I know not having an upfront answer to "how much will this cost in total?" is the natural cost of this model. But instead of paying a fixed fee for months to a setup that is not producing results, you only pay for the qualified time spent on your work — and you see exactly where that time went, start to finish. That is why my clients keep coming back.
